  • Organic Voicemail to Email – have all your correspondence in one place

    07/06/2011 16:41

Jenny Forbes of Organic 0800 numbers explains how Organic Voicemail to Email and other 0800 number extra features can help organise your office better as well as help the environment.

“Organic Voicemail to Email is one of the features available with our 0800 numbers, 0845 numbers, 0844 numbers or local numbers which, when combined with other features, can really revolutionise the way you handle your contacts” says Jenny Forbes, Head of Marketing at Organic 0800 Numbers.

The Voicemail to Email feature allows your customers to leave a message after hearing a pre-recorded message from you, as with a standard voicemail. However, once someone has left you a message, it is then automatically emailed as a recording to your email address. This means that you can then either keep a copy of it in a folder of voicemails for reference if someone says they left you a voicemail message, or if it is from a particular client for whom you do a lot of work then you can store it in the computer file you have for them, so that it is kept with emails from them and other documents.

You can also use other special features to ensure that as much work as possible relating to your clients is stored in the same place on your computer, thus reducing the amount of paper you use and thus helping to protect the environment.

Call Recording is one such useful extra feature. This allows all the calls you receive to be recorded, and once the call is over a recording of the call is sent straight to your email inbox. This means that you don’t have to scribble down notes during the call, which are then either put in a folder never to be found again, or end up meaning nothing and thus get thrown away. Call Recording means you have an accurate and full account of the entire conversation saved on your computer with all other work relating to that client, without having to use a single sheet of paper.

The other useful extra feature in this regard is Organic Fax to Email. This allows you to receive faxes without actually having a fax machine. People send you a fax as usual, which is converted to a PDF and sent directly to your email inbox. Thus you don’t have to leave a fax machine switched on constantly wasting electricity and you don’t have to print the fax out if you don’t want to, thus saving on paper, ink and toner. It therefore means that you only print out the pages that you want to print out, or even better you don’t print out any at all but save the faxes with the call recordings, voicemails and emails which are all stored on your computer because of the features above. All of these features combined go one step further towards creating that elusive paperless office.
  • FAQs on Organic Fax-to-Email

    23/05/2011 15:26

Jenny Forbes of Organic Numbers gives some answers to some frequently asked questions about 0800, 0845, 0844 and virtual local fax-to-email numbers.

“Here at Organic Numbers we are renowned for taking pride in taking every step possible to help the environment. One of our favourite environmentally friendly measures is our fax-to-email, which can be used for Organic 0845, 0844, local or 0800 numbers”, says Jenny Forbes, Head of Marketing at Organic Numbers. “We think it’s a fantastic system which is both environmentally friendly and a wonderfully helpful resource” says Forbes, “but it is still relatively new, so we appreciate that people might still have questions and want to know more about it, so we’ve written down the answers to some of the questions that we frequently get asked over the phone”.

How does fax-to-email help protect the environment?

With an ordinary fax machine you have to leave it switched on all day, every day in order to make sure that you receive your faxes. If a fax machine isn’t switched on, the fax won’t send to you and you could miss something important as well as infuriate the person trying to send a fax to you. Therefore, you have to leave it switched on constantly, wasting electricity. Also, when you do receive a fax, you have to use ink, toner and paper printing it.

With fax-to-email there is no fax machine. The person sending the fax sends it as normal, and it gets converted to a PDF and sent directly to your email inbox. You don’t have to leave your computer switched on to receive it, it just waits in your inbox the same as any other email. You can then read it on the screen if you want to, and only print it if you want or need to, whereas with a fax machine you would have had no choice, and would have probably ended up putting it in the bin.

What numbers can I have for fax to email?

Your fax to email number can be an 0800, 0845, 0844 or virtual local number. However, it has to be a separate number from your voice telephone number.

How much does it cost to have fax to email?

There is an initial one off set up charge of £10 + VAT, and then we charge £5 + VAT per month rental.

Is there a long term contract?

No – we just need 30 days notice to cancel your number.

Do you offer discounts on multiple numbers?

Yes – if you’re looking for multiple numbers give us a call for a chat.

Does it involve any new equipment or hardware?

No, it doesn’t involve installing anything.

Does it cost anything to receive the faxes?

It costs 4p + VAT per minute to receive faxes with an 0800 fax to email number, 3p + VAT per minute to receive faxes with a virtual local fax to email number, but you don’t pay anything to receive the fax with 0844 and 0845 numbers.

How long does it take to set up the numbers?

If you call during the day we will usually have it set up by tea time for you.

    How does the billing work?

We use per second billing so that you only pay for what you use, and we have fully itemised billing.

What numbers do you have available?

We have area codes for nearly 500 different towns and cities for our local fax to email numbers, and a wide variety of 0800, 0845 and 0844 numbers. Check our website for more details!
  • Organic Extra Features: Making your 0800 number even greener

    12/05/2011 13:19

A variety of extra features to accompany Organic 0800 numbers can help in a small way to protect the environment.

Nottingham, UK: “Organic 0800 Numbers are already noted for being a green company, but many of their extra features can also help in a small way towards being more careful when it comes to the environment”, says Jenny Forbes of Organic Numbers.

So, for example, their “Voicemail to Email” feature sends all of your voicemails to your emails as an audio file after the caller has finished leaving a message. This means that you don’t have to sit at the phone writing down voicemail messages on a pad of paper, instead you can just keep the audio file on your computer with all other work relating to that customer, or in a separate file of voicemail messages, and never have to use a scrap of paper.

Another example would be Organic’s “Online Call Statistics” package. This allows you to check your received calls on a daily basis using Organic Numbers’ secure website. There you will find a list of calls received, missed calls, average time to answer, start time of the call and duration. As long as the caller doesn’t withhold their number then you can see who has called you. This daily service means that you keep an eye on your phone usage online and not have to wait for reams of paper to arrive each month in the form of the phone bill, thus saving on paper.

The “Call Recording” function is another brilliant extra feature. This allows you to record all of the calls that you receive, and then have the recording stored or emailed to you. This again saves you on paper, because you no longer have to sit there with a pad of paper and a pen making notes on what was said during the call, as you will have a complete, accurate recording for your records saved.

These features also work well with Organic’s Fax-to-Email service. This feature gives you an 0800 fax number so that people can send you a facsimile, but instead of having to leave a fax machine on constantly, thus wasting electricity, you get the fax sent straight to your email inbox as a PDF file. It saves paper, electricity, ink and toner, thus helping to protect the environment. It also means that you can keep all of your records relating to your clients in the same place – voice conversations, emails, voice mail messages, documents and faxes, without having to use a single piece of paper if you don’t need to.

“Organic’s features are another small step towards the paperless office”, says Jenny Forbes, “but all of these small steps put together really help to reduce our carbon footprint”.
  • The difference between Organic 0800, 0845 and 0844 numbers

    11/05/2011 14:41

Jenny Forbes, Head of Marketing at Organic Numbers, explains the difference between 0800, 0845 and 0844 numbers.

We have recently been enjoying a glorious spell of lovely weather, and it has been a fantastic time for getting out in the garden, having a good root and branch clear up and tidy up, shaking off the last effects of winter and giving everything a good spring clean. The rows of Bank Holidays for Easter, the Royal Wedding and May Day, coupled with the hot sunshine, have made it a truly fantastic time to get out in the garden.

At the same time, we have finally started to see a few positive signs when it comes to the economy. The first green shoots of recovery after a long, harsh, bitter winter. As businesses start to bounce back and people start to spend money again, now is a good time to consider something else that is green and organic: Organic Non-Geographic Numbers.

Different non-geographic numbers can benefit different businesses in different ways, depending on their individual needs. Three of the key non-geographic numbers are 0800 numbers, 0845 numbers and 0844 numbers. Jenny Forbes, Head of Marketing at Organic Numbers, explains the difference between them.

“For the sake of simplicity, I am talking purely about non geographic numbers that are pointed to landline phones rather than mobile phones. An 0800 number is a freephone number for the person calling. They don’t pay anything to make the call, regardless of how long the call lasts. Instead, the person receiving the call pays for it, 4p + VAT per minute. This is a good incentive for people to call your business, as they don’t have to worry about getting a large phone bill for making the call. An 0845 number is the middle option – you don’t pay to receive the calls, and your customers pay a low call rate. With an 0844 number, your customers pay more again to phone you, but you receive a 1p per minute rebate, meaning that the more calls you have and the longer they last, the more money you get back. All of these numbers are non-geographic numbers, and so hide your location (eg which part of the country you are based in), hide where exactly the number is pointed at (for example to a mobile, a home number or an office), and give your company an air of professionalism.”

For companies wanting to do the opposite (are national but want to appear to be local), then Organic Numbers also offers a wide range of virtual local numbers, with nearly 500 different area codes, allowing companies to have a different “local” phone number in every area they want to do business, all pointing to the same phone, thus giving the impression of a national company, when actually they are based somewhere else. This can be handy for companies that want to operate in more than one area, but cannot afford to have business premises with staff in all of those areas.

  • Why London Phone Numbers Won't Run Out

    07/04/2011 08:27

Don’t panic! Keep calm and carry on! Newspaper reports predicting that London will run out of phone numbers are premature and greatly exaggerated argues Jenny Forbes, Head of Marketing at Organic Numbers.

In several press releases issued during the past few weeks it has been argued that the United Kingdom faces a telecommunications problem of epic proportions and, in particular, that the Greater London area will be faced with an unpleasant dilemma due to the fact that it will simply run out of telephone numbers for both business and personal use. The information that has been published on the internet is simply not true, argues Jenny Forbes, Head of Marketing at Organic Numbers and a leading expert on UK virtual phone numbers

Forbes notes that recent press speculation has stated that 0203, 0207 and 0208 have been referred to as STD area codes for the London area. “No such STD codes have ever existed for the London area at any time”, insists Forbes. “The STD code for London is 020” she states categorically.

London changed over to the single 020 area code in the year 2000, replacing the previous 0171 and 0181 numbers which had existed since 1995, when they replaced 071 and 081 numbers. Previous to all of that it was 01 for the capital. Also in the year 2000 the London area moved away from using 7 digit local numbers to having 8 digit local numbers. This was done both in order to massively increase capacity and so that no further London code changes would be necessary for a very long time. In fact it is highly likely that there will be a plentiful supply of telephone numbers for the London areas for at least the next century. After so many changes in such a short period of time, it is not surprising that people are confused as to what the London area code is!

Initially only local numbers beginning with 7 or 8 were used after the 020 code eg 020 7890 1234 or 020 8901 2345. Then in 2005, local numbers beginning with the digit 3 also came into use eg 020 3456 7890. Therefore "(020) 3" is NOT a "new code" as has been reported in the media. It is very misleading indeed to describe "(020) 3 as such. London has only one code. That code is 020. The introduction of the initial digit 3 within the 020 area code in 2005 has raised the possible permutations of phone numbers by around ten million. The changes that were made in 2000 have ensured that the London area now has a lot of spare capacity for the future. In particular, numbers beginning (020) 2, (020) 4, (020) 5, (020) 6 and (020) 9 are earmarked to be made available for use. It's highly likely that this spare capacity will likely take more than a century to use up.

So, it's clear to see that phone numbers for the London area are not running out. Far from it! OFCOM have earmarked numbers for use in the future. You can check this out from the large number of entries marked "London expansion" on the OFCOM's UK dialplan spreadsheet which is contained in their website.

  • Can 0800 Number Companies Be Organic & Green?

    31/03/2011 08:15

Organic 0800 numbers is leading the way when it comes to helping companies do their bit for the environment, insists their Marketing Director Jenny Forbes.

“The best way to find out whether 0800 number companies can be organic and green is to do a bit of research” says Jenny Forbes, Head of Marketing at Organic 0800 Number Companies. “On many companies' websites they should explain the specifics of their environmental policy. The customer sees this as a knock-on effect and will take a conscious view on what potential services they use and how this affects the environment.”

Forbes’ company certainly prides itself on being organic and green. A cursory glance at their website says as much. “Our range of Organic 0800 numbers have been carefully raised and nurtured in beautiful English countryside and are ready and waiting to go to good homes in the UK” it boasts. “Our handpicked 0800 numbers contain no sugar, dyes or artificial ingredients. These 0800 numbers have no carbon footprint and can be ‘pointed’ to either a landline, mobile phone or used for a fax to email service.” The first question on their list of FAQs is “Why are your numbers Organic?” which receives the reply of “Our numbers are organic due to the zero carbon foot print that our numbers produce. We carefully monitor our emissions and have a green policy that we aim to carry out.” So clearly Organic 0800 numbers talks the talk, but what is the substance behind the rhetoric?

Certain add-on features of free phone 0800 numbers are environmentally friendly. One popular extra is to have your fax number pointed to an email address. Many companies would like to get rid of fax machines because of the amount of electricity they consume by having to be switched on all the time, and because of the vast amount of paper they use, not to mention ink. However, other companies expect you to have a fax machine, and will greet you with a stunned silence if they say they want to fax something to you and you tell them that your company does not have a fax machine. By having the 0800 number fax to email service, companies can still give out a fax number, but receive the faxes in email form rather than paper form. This cuts out paper, toner and energy use, therefore saving the company money and saving the environment simultaneously, thus companies get the best of both worlds. As well as being a "green" feature, companies will also be more accessible to clients with the option to access your faxes whilst on the move, whether it is from another computer or via a smart phone. And computers don’t have to be left on 24 hours a day 7 days a week like a fax machine, so you can turn off your computer at the end of the day knowing that any faxes that come through over night will still be there in the morning.

For many businesses large or small, travel time and fuel costs when visiting clients or holding meetings can not only reduce the hours of work and productivity, but increase pollution. 0800 freephone numbers provide the option to hold a phone conference with your colleagues or clients by making a simple phone call. With a single phone call to one number, multiple individuals can hold discussions whilst saving the environment at the same time.

“Customers appreciate an environmentally aware work ethic and often opt for a greener company in order to ease their own conscience. Due to more and more companies taking the greener route, having an environmental policy, whether incorporating your services or not, will be beneficial in the long run” says Jenny Forbes.
  • Organic Numbers Explain How Their 0800 Numbers Are Green & Eco-friendly

    24/03/2011 15:06

Zero Carbon footprint and paperless faxes from Organic 0800 numbers help to boost a company’s ‘green’ credentials, says Jenny Forbes.

When you look at Organic 0800 Numbers’ website, the first thing that strikes you is that it is very green. “It’s not just green in colour – we’re also very environmentally friendly” says Marketing Chief Jenny Forbes. “Our numbers are organic due to the zero carbon foot print that our numbers produce. We carefully monitor our emissions and have a green policy that we aim to carry out.”

Ms Forbes and Organic Numbers recognise that today, most businesses are more environmentally conscious than ever. The "green" trend is becoming increasingly popular with society in general and provides an extra incentive for a company to maintain an eco-friendly work ethic.

When pressed on what exactly was “green” about their numbers, Forbes replied: “Believe it or not, Freephone 0800 numbers now offer a ‘green’ cost cutting facility that reduces paper, printer and toner use, not to mention electricity, by converting faxes to email. The way it works is like this. Instead of ‘pointing’ a 0800 number at a landline or mobile phone it is directed straight to an email address. This means that any faxes sent using a 0800 fax line will end up as emails on your screen. This means that in theory you don't need a fax machine at all, although you can still offer clients and customers a fax number.”

This is good news for the environment as paper is no longer wasted by printing off reams of faxes, most of which are junk and get thrown in the bin anyway. Instead faxes can be previewed on your monitor and deleted or stored without using a single sheet of paper. Then there are the savings made on toner and power. With a fax machine, it has to be left switched on 24 hours a day, 7 days a week in order to receive the fax. With the fax to email, the fax can be sent when the PC is switched off and it will still be received like a regular email would be.

Besides all the green advantages many people find it is much easier to file and store faxes on their PC. It makes more sense in the "digital age" to store data electronically rather than stuffing it in a filing cabinet. All you have to do is type in a key word to find it, rather than searching through files and boxes to find a fading and crumpled piece of paper. It's another step towards the paperless office.

Any company that is serious about its environmental policy should take along hard look at the latest 0800 fax to email technology and take steps to preserve our precious resources. Your customers will surely also be impressed with your green credentials and commitment to protecting the environment. “One of the key factors that people consider now when using a company is how ‘green’ it is, says Jenny Forbes. “Businesses that are not environmentally friendly can often face some very negative publicity. Our Organic 0800 Numbers are a small but effective way of helping to boost a company’s ‘green’ credentials”.

  • Using 0800 Numbers In A Recession

    17/03/2011 14:23

Getting a freephone 0800 number means that customers are more likely to pick up the phone in these hard times. Failure to do this may mean that the most carefully planned marketing campaigns fails to bear fruit, warns Organic Numbers’ Jenny Forbes.

Although we are officially out of the recession, and talk of a double dip seems premature, the damaging effects are still being felt by many people around the country. The annual rate of inflation was recorded at 4% in January 2011, double the Bank of England’s target rate of 2%. Fuel prices are at a record high of £1.27 per litre, VAT has increased to 20%, unemployment has crept up to 7.9%, the UK has a record budget deficit to pay off leading to unprecedented government cuts, and the threat of rising interest rates is on the horizon for the first time in many months. Businesses need to market themselves, but their lack of funding for promotional strategies is becoming an obstruction to businesses getting back on track financially.

However, Jenny Forbes, Head of Marketing at leading 0800 number provider at Organic 0800 Numbers, feels that it doesn’t all have to be doom and gloom, and believes that small changes to marketing aspects of a company, even if it involves a minimal cost initially, will soon give an incentive for consumers to spend their hard-earned cash. She suggests that one often overlooked solution is a simple 0800 number. “Many businesses do not realise how the cost of making a phone call can often deter a customer from choosing between one company and the next. For many people, every penny counts at the moment, and getting the budget to balance each month is a Herculean task. Many hard working families are balancing on a knife blade, and something as simple as that can potentially send them over the edge. Therefore, even though your marketing strategy has been successful and the potential customer sees that you are providing a service they want, they are put off picking up the phone because of the cost of calling a premium rate number. Companies need to adjust their marketing stance to the needs and circumstances of their target market; otherwise they are essentially falling at the final hurdle despite having invested so much effort and capital beforehand.”

Her proposed solution is for businesses to get a freephone 0800 number. “Freephone 0800 numbers are readily available to anyone and everyone, businesses small or large, and the add-on benefits are invaluable. Not only do 0800 numbers generate more sales with their free of charge appeal, they also enable a company to become more easily available.” This is because a freephone 0800 number can be directed to various phone lines, landline and mobile, always ensuring the customer gets a response. Extra features available to guarantee a better service include fax to email capabilities. This is another cost cutter, saving the expense of printer cartridges, paper and electricity, helping your business to run more efficiently with added concern for the environment.

Ms Forbes therefore concludes that “This one small initial cost could see businesses gain more trade by giving something back to the customer, and consideration for their expense alongside an improved service will certainly boost the rate of customer revisits.”

  • Organic 0800 Number Reveals Whether You Should Expect To Pay To Change Where They Are Pointed To

    11/03/2011 12:47

0800 numbers mean that companies can change premises or phones without having to change their numbers and potentially lose a lot of customers – but when buying them remember to ask the right questions so you don’t get charged a fortune to do so.

One of the major questions you need to be asking a UK 0800 number reseller before you make a decision to buy is will I have to pay to change where my 0800 number is pointed to?

Jenny Forbes, Head of Marketing at award winning Organic 0800 numbers and a leading telecoms expert commented: “We are all in business for two major reasons - to create wealth and also stability. Business people appreciate the need for profit - what's the point in business and not making any money? However, by the same token, nobody wants to be taken for a ride.”

Some 0800 numbers are "pointed" at landlines. If your business moves its premises then you may not be able to take your phone number with you. In this case you would need to point your 0800 number to your new landline. This is one of the great benefits of 0800 numbers, as it means that all your old adverts, listings, websites, contacts are still relevant and that customers old and new won’t end up phoning the wrong number. Other 0800 numbers are pointed at mobile phones. If you change your mobile phone and get a new mobile number or if a mobile phone is lost or stolen then you will need to point your 0800 number at your new mobile number.

These are generally going to be quite rare occurrences – maybe once a year for changing your mobile phone; and hopefully less frequently for changing premises. However, there are instances where the destination number needs to be changed very frequently, in some instances more than once a day. For example, workers who may be called out in an emergency take it in turns to field calls in the evening, with the same number being advertised but being pointed to different mobile phones. Therefore, before you order a new 0800 number it’s a wise idea to check out the reseller's policy with regards to redirecting your number, so as not to face any unpleasant surprises.

Some business telecoms companies charge a small administration fee to offset the time taken while others provide this service for free. If the fee is hefty and you know you may need to frequently change the destination number then perhaps you need to consider another company. It's a good idea to eliminate the chance of any nasty surprises in the form of a large administration fee.

Also find out how you can physically change your destination number. Is it achieved by filling out a form on a website or can it be done by your company online? Ask the reseller how long it will take to redirect your 0800 number - is it instantly while you are on the phone or does it take a working day?

Asking the right questions will increase the chances of you getting the right 0800 number provider for your business.

  • London Phone Numbers Won't Run Out - say Organic Numbers
